Your role:

The Operational Specialist is responsible for supporting daily operations by reviewing medical cases, preparing reports, and managing invoicing processes in accordance with the company's Standard Operating Procedures (SOPs).

This role ensures accuracy, efficiency, and compliance across case management and financial workflows. The position requires strong attention to detail, organization, and clear communication with internal teams and clients.

Key Responsibilities

  • Case Review & Reporting
  • Review medical cases within the Case Any Place system in accordance with company SOPs
  • Analyze documentation to ensure completeness and accuracy between Case Any Place and QuickBooks
  • Prepare clear, accurate, and professional reports for clients
  • Maintain well-organized and up-to-date case records in internal systems
  • Invoicing & Financial Processes
  • Create and process invoices in QuickBooks Online in accordance with SOPs and client-specific requirements
  • Apply payments and assist with reconciliation processes as needed
  • Ensure all billing data is accurate and properly aligned with case details
  • Client Communication
  • Communicate professionally with clients via email
  • Follow up on missing information or clarifications
  • Support billing-related inquiries
  • Operations & Compliance
  • Follow all company SOPs, workflows, and internal guidelines
  • Maintain strict confidentiality and comply with HIPAA regulations
  • Effectively use case management and internal software systems
  • Identify opportunities to improve processes, accuracy, and efficiency

Qualifications

  • Required
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • High attention to detail and accuracy
  • Ability to follow structured processes (SOPs)
  • Strong organizational and time management skills
  • Ability to work independently in remote environment
  • Possess a dedicated and quiet workspace, ensuring an environment free from noise and distractions throughout the working hours
  • Maintain a robust high-speed internet connection, capable of handling multiple VOIP calls simultaneously, ensuring seamless productivity and communication efficiency
  • Demonstrates a strong commitment to reliability and punctuality for consistently arriving on time for each shift
  • Strong ability in both verbal and written English to interpret and express complex ideas and instructions.
  • Exercise sound judgment and maintain calm in high-stress situations.
